A great conference doesn’t happen by accident. CitiView Audio Visual delivers full-service conference AV production — precision audio, seamless video switching, professional lighting, and a crew that executes flawlessly for events from 50 to 5,000.
Conference AV production covers the audio, video and lighting a meeting or conference needs: room sound design, speaker presentations, video switching and displays, stage lighting and cue management. CitiView Audio Visual has produced conference AV since 1998, embedding experienced crews on site for events from 50 to 5,000 attendees.
Conference AV production encompasses all the audio, video, and lighting technology required to run a successful meeting or conference. This includes designing the sound system for the room, managing speaker presentations, operating video switching and display systems, lighting the stage, and coordinating every technical cue throughout the program.
At CitiView AV, we go beyond equipment rental. We embed experienced technicians into your event who understand the stakes — and have the expertise to solve problems before your audience ever notices them.
Whether it's a single-room board meeting or a multi-track annual conference, we provide the same level of professional attention and redundancy that Fortune 500 companies depend on.
From sound reinforcement to live streaming — every technical element, fully managed.
Professional PA systems, wireless microphones, lavalier mics for presenters, confidence monitors, hearing loop solutions, and front-of-house mixing for audiences of all sizes.
High-resolution LED walls, rear-projection screens, confidence monitors, and IMAG (image magnification) setups so every seat in the house has a clear view of your content.
Clicker support, teleprompter systems, video switching, and show-flow management so every speaker transition is seamless and every cue lands exactly on time.
Flat wash lighting for filming and video calls, dynamic stage looks for keynotes, spotlighting for panel discussions, and color-matched brand lighting to reinforce your event identity.
Broadcast-quality live streams with multi-camera setups, CDN delivery, interactive Q&A tools, and a dedicated streaming technician to keep remote attendees fully engaged.
Coordinated AV across general sessions, breakout rooms, and pre-function spaces — with a dedicated crew member assigned to each zone and a central production manager overseeing everything.
From single-day executive offsites to multi-day national conventions — we've handled them all.
Multi-day programs with general sessions, breakouts, panel discussions, and exhibit halls — coordinated seamlessly across every space.
High-stakes, low-margin-for-error meetings where every slide, every microphone, and every connection must work perfectly the first time.
Multi-track learning programs with breakout rooms, interactive polling, simultaneous interpretation, and recording for post-event distribution.
In-person production blended with broadcast-quality streaming, so remote attendees experience the same energy and clarity as the room.
Every successful conference starts with a clear plan. Here's how we take you from first call to final strike.
A detailed conversation about your program, audience size, venue specs, and technical requirements — so we scope the right solution from day one.
Equipment lists, floor plans, signal flow diagrams, and run-of-show timelines tailored to your specific venue and program structure.
We coordinate directly with venue AV teams, load in equipment on schedule, and complete thorough system checks before any presenter steps on stage.
Full AV rehearsals with every speaker, testing all slides, video playback, microphone levels, and transitions until everything is perfect.
Expert crew running every cue, managing every feed, and troubleshooting in real time — followed by efficient strike and post-event recording delivery.
We've produced conferences at venues across New York City, New Jersey, Denver, and beyond — and we understand what it takes to execute under the pressure of a live program.
We specialize in multi-session conference formats — not just general corporate events. We know how breakout rooms, general sessions, and concurrent tracks interact technically.
Every critical system has a backup. We bring redundant audio feeds, spare microphones, and hot-spare video switches so a single equipment failure never stops your show.
One dedicated production manager coordinates everything — your venue, your speakers, your run-of-show. No passing the buck between vendors.
No surprise line items on your final invoice. We provide detailed proposals upfront so you can budget confidently and present costs to stakeholders without hesitation.
For conferences of 200+ attendees, we recommend reaching out 8–12 weeks in advance. Smaller events can often be accommodated with 3–4 weeks notice. The earlier you book, the more time we have for thorough technical planning and venue coordination.
