The Challenge

NYWEA’s annual conference spans multiple days with hundreds of technical presentations, panel discussions, and a major general session. The logistical challenge is immense: nine breakout rooms running simultaneously on different floors of the Marriott Marquis, each needing independent presentation support, wireless microphones, and consistent audio quality — all while a full general session production runs in the main ballroom.

Coordination across all these spaces requires meticulous pre-planning, a large and experienced crew, and a production manager who can troubleshoot issues instantly without disrupting the flow of the conference.

Our Solution

CitiView deploys a dedicated crew of technicians — one per breakout room plus a lead team for the general session — all coordinated through a Clear-Com intercom system that keeps every room in communication. Each breakout room receives a standardized AV package: a large-format display (80″–100″), a wireless presenter microphone, and a laptop interface with auto-switching.

The general session features a full LED video wall with NovaStar processing, multi-camera IMAG, and a professional audio system with distributed fills to cover the entire ballroom. Our Roland V-series switcher manages all video routing between presenter laptops, cameras, and the LED wall.
