Pro Tips For Event Presentations

Worried that your next event won’t go as smoothly as you’d like it to? We understand that putting on a presentation in a room full of people can be stressful, so we’ve put together some pro tips to help you out. See below and be sure to watch our latest YouTube video to learn more!

Pro Tip #1 – CONFIDENCE MONITORS

The most well-rehearsed, and well-informed presentations can appear sloppy and uncoordinated if you are turning your back to the audience, leaving the microphone, and pausing to refer to slides on a screen behind you.

Adding a confidence monitor to your layout will allow the ability to refer to your slides and notes directly in front of you, having constant access to your content without ever showing the crowd your bad side.

Pro Tip #2 – STAGING

A panel or two of staging in a smaller venue can be crucial for turning an intimate room into a bona fide event space.

Restaurants and other public meeting places are great for creating a unique and memorable experience for your audience; our staging will ensure that the experience is effective, as well. Plan your event in your favorite locations with confidence, knowing that your voice will be heard, and your face seen.

Be Organized

There is no worse feeling that speaking in front of a crowd when your notes or your visuals are unorganized. Not only will it throw off the presenter, the crowd may become uninterested and lose focus. It’s vital to practice your presentation beforehand and make sure everything is in order before the day of the event.

Be Prepared

Go into the meeting with a clear focus. What is it that you want to achieve? If you go in with a goal in mind, it will help you prepare to achieve the goal and stay on track.

It’s also a good idea to anticipate questions. Members of the audience may ask about certain topics covered during the presentation or more general questions about your company or your goals.

Have Seamless AV Integration

We live in a world where technology rules. Make sure your audience is able to connect on their laptops, smartphones or tablets and provide them with high-quality audio and visual. If the people in the back of the room can’t hear or see your presentation, chances of success are slim. This is why it’s important to hire a well-trained audio visual team!

Why Is Mic Placement Important?

When it comes to achieving the best possible sound quality, mic placement matters. There’s a lot more to getting good sound out of a microphone than simply standing behind it and speaking directly into it. Proper mic placement offers optimal signal to noise ratio, gain before feedback and helps you achieve the mic’s “sweet spot”.

If there is going to be background noise during your next event, using a directional microphone is your best bet. These mics work to reject sound coming from nearby allowing you to achieve proper signal to noise ratio.

It’s important to understand your microphone’s angle of rejection especially when it comes to aligning floor monitors or side fills. Keep in mind that when a sound source is closer to the microphone, the mic will put out a stronger signal. This is ideal if you want to add some depth to your vocals, but don’t over do it.

To find the “sweet spot” it’s going to take some trial and error. The best way to find the optimal sound is to literally move the mic around until it sounds best. If you’re using an omnidirectional microphone you can test the sound by covering one ear and listening to the sound with the other. For a cardioid mic, cover one ear and cup your hand behind the other and finally, for a stereo pair cup both hands behind your ears.

At CitiView Audio Visual, we can help you choose the best equipment and aid with the setup for achieving the highest quality audio. Give us a call today at 212-632-5196 to find out how we can help!

How To Record High-Quality Audio

Tired of poor sound quality? When it comes to producing audio over the internet, if you’re not using the right equipment your audience may have trouble hearing you. So how can you fix this problem? Find out below.

HiRes (11)

It starts with having the right microphone. You may not think it makes a big difference, but remember the old saying “you get what you pay for?” This is definitely the case when it comes to choosing a mic. While you might be able to get away with using an inexpensive microphone, if you compare that recording to one where a better microphone was used, you’ll be able to notice the difference.

There are two main types of microphones used for recording: omnidirectional and unidirectional. The former records sound from all directions while the latter only picks up the sound from one direction. If you want a mic that doesn’t pick up ambient noise, a unidirectional mic is your best bet.

That leads us into controlling your environment. When recording audio, you’ll want to reduce the noise around you as much as possible. While it’s very difficult to achieve complete silence, you can turn off all other machines in the room and try to keep the microphone away from any noise producers. Keep this information handy the next time you are setting up for a webcast.

Need help choosing the right equipment for your next event? The professional audio engineers at CitiView Audio Visual have years of experience and training and know exactly what it takes to record high-quality sound. Give us a call today at 212-632-5196 to learn more.

Why Use A Confidence Monitor?

What’s one of the most important qualities to display while presenting? If you said “confidence” you’re absolutely right. There’s nothing worse than listening to somebody speak if they are timid or nervous and we’ve got the perfect solution for that! Having a confidence monitor in front of you while you present can make a world of difference.

What is a Confidence Monitor?

We’ve gone through the importance of making your event stand out with visuals – it’s a great way to connect with your audience and keep them engaged. While you’re displaying slides or photos on a large projection screen behind you, a confidence monitor will help you stay focused while keeping your eyes on the crowd. With a confidence monitor in front of you, you’ll be able to see exactly what your audience sees without turning around, which can be very distracting to the folks in front of you!

How can it Help?

Think of it as a larger scale note card or cheat sheet. With a confidence monitor you’ll be able to breeze through your presentation while staying on topic and you’ll be much less likely to overlook or skip important points.

Keep in mind that a confident delivery will help get your message across to the audience and can help make your event a success! Contact CitiView Audio Visual today to rent a confidence monitor and stay poised and in control during your next presentation.

Webcasting is an extremely effective tool – but make sure you follow the tips below:

  1. Build Awareness: while webcasts are great tools for reaching a large number of people without spending a fortune, having the right audience is key. Building awareness will help optimize your success and ensure that your target audience is reached. You may want to consider building a pre-event website and sending pre-registration emails.
  2. Create a Checklist: make sure your webcast runs smoothly by creating a pre-event checklist. You’ll need to have the proper internet infrastructure, find out what audio visual equipment will be required and carefully plan out your business objectives.
  3. Quality Streaming: without the right equipment, it’s going to be difficult to put on a quality webcast. The audio visual equipment is only one step, but you also need to make sure you have a quality encoder, the right software and streaming support infrastructure – that’s where we come in!

At CitiView Audio Visual, we have what it takes to conduct a webcast that leaves a lasting impression. From Multi-Camera Switching to Picture-in-Picture and Content Delivery systems we’ve got you covered. Give us a call today at 212-632-5196 to learn more.

How To Prepare For Your Next Presentation

Practice. Practice. Practice. We’ve all heard that practice makes perfect, right? Well, the more you prepare for anything in life, the more comfortable you will feel – and the same goes for your next presentation. Public speaking can be a daunting task for some us, so here are a few tips to make your next presentation fly:

Write It Down

Yes, reading from a script or a piece of paper can make for a very poor presentation, but it’s still a good idea to have it with you. Not only will writing down your speech help you to memorize it, if you happen to lose your place or dry up you can refer to it quickly to get you back on track.

Start Preparing Early

You should begin prepping as soon as you find out you have a presentation coming up. Don’t leave it until the last minute because you are bound to forget something. Give yourself a realistic amount of time to prepare, you’ll be glad you did.

Set Up The Room In Advance

Have projectors to set up? Screens to display? Speakers to test? Give yourself plenty of time to set up the room. It’s also a good idea to get familiar with the room and go over your slides as if there was an audience sitting in front of you.

Need presentation equipment for your next event or meeting? At CitiView Audio Visual, we’ve got you covered. We offer the latest technology from leading brands in the industry so give us a call today at 212-632-5196 to find out how we can help!

Why Use Visual Aids?

Ditch the long paragraphs and even the bullet points – use images instead. How many times have you sat in on a presentation only to be bored to tears? Let’s face it, we’d rather look at pictures than stare at a screen full of text and that is why you need to use visual aids during your next presentation.

One of the most important things to do before planning an event or presentation is to come up with goals. Why are you putting on this presentation in the first place? Once you establish clear goals, you want to accomplish them right?  Research shows that you are twice as likely to accomplish your goals by using visual aids.

According to Professor Albert Mehrabian, 55% of the information we take in is visual while only 7% is text. Believe it or not, we are 50% more likely to retain a visual message after 3 days compared to bullet points where we only remember about 10% of the message portrayed.

Remember the old adage “a picture is worth a thousand words” – the same idea holds true for presentations. Keep that in mind the next time you are preparing slides.

PowerPoint Presentation Tips

When it comes to PowerPoint presentations a little bit of preparation goes a long way. After all, who wants to sit through another boring slideshow? Want to learn how to add a little pep to your presentation? See below for a few tips:

  1. One Step At A Time: in order to keep your audience focused on what you are saying, it’s a bad idea to display multiple bullet points at once. If you put up the entire slide at the beginning, they will likely read the entire thing before you hit on each point. Stick to showing one topic or focal point and move on to the next only once you have finished the previous thought.
  2. Keep It Short And Sweet: stay away from paragraphs. Big chunks of text will cause your audience to lose attention and become bored. The slides are there to highlight important points, not to display your entire presentation.
  3. Ask Questions: provoke some thought, arouse interest and keep the people engaged. There’s no better way to do this than by asking questions. Give them a short quiz to test their knowledge.

Need a projector or HD projection screen for your next event? At CitiView Audio Visual we offer projectors from 2.5k lumens to 20k lumens and screens from 5ft to 20ft wide so give us a call today!

How To Get The Most Out of a Business Meeting

Don’t waste your time and energy with a lousy business meeting. When nothing gets accomplished not only is it frustrating for you, the company wastes valuable resources. How can you get the most of your next business meeting? See below to find out:

  1. Have a clear-cut goal in mind: it’s vital to understand why you are having the meeting and what you want to accomplish during it. Write down a few goals beforehand and don’t leave until you get the answers you are looking for.
  2. Come up with a plan: once you have a list of goals, you need to create a plan on how you will communicate these goals to the audience. Be as straightforward as possible and be willing to answer questions.
  3. Encourage participation: try to make everyone feel involved. Nobody likes when one or two people take over. Ask questions and provide handouts if you think it will help the audience stay focused.
  4. Change it up: if you always use the same items during your meetings, it may be time to switch it up. Try using projection screens to display slides and consider using audio equipment if the people farthest from you will have trouble hearing.

At CitiView Audio Visual, we understand that meetings pop up and presenters’ needs change on-site. Our staff will respond quickly and professionally with any audio/visual service you may need so you can accomplish your goals!
